Create, organize and publish knowledge base content

Access the knowledge base

Open Knowledge base in the workspace where you want to work. The address follows this format: https://app.froged.com/ws/SLUG/kb. Replace SLUG with your workspace identifier; for example, the FROGED team uses https://app.froged.com/ws/6amlug/kb.

You must be an administrator or have Knowledge base permission. Help center settings may require other permissions and plan capabilities. If an option does not appear, ask your workspace administrator.

In Articles, you can manage your product's help content. Updates is a separate section with its own permission and publication rules; it does not replace help articles.

Create folders and articles

  1. Select the content language. It is not necessarily the same as the interface language.
  2. Open the destination folder, or use All articles to work at the root.
  3. Select New folder or New article.
  4. Add a title. You can enter a summary and comma-separated tags.
  5. For articles, write the content in the visual editor.
  6. Leave Published unchecked to keep it as a draft, then click Save.

The title allows up to 150 characters and the summary up to 200. Folders organize documents but do not show the article content editor.

Changes take effect when you click Save: do not rely on autosave. If you cancel, change language or leave with pending changes, review the warning before discarding them. If Save is unavailable, check that there are changes and the fields are valid. If saving fails, keep the editor open and read the message before repeating the operation.

Edit content

The visual editor supports headings, bold, italics, underline, strikethrough, lists, quotes, code blocks, separators, alignment, tables and links. You can undo or redo changes while editing.

Within a table, controls appear for adding or deleting rows and columns, toggling the header, merging or splitting cells and deleting the table.

Edit HTML lets you work with the article's code; Visual editor returns to normal editing. HTML mode includes Preview. Use it only if you understand the effect of your changes and check the public result after saving. Special-format blocks in older articles may be preserved without being fully editable as normal text; do not delete them to hide a display problem.

Add images and files

Use Image for PNG, JPG/JPEG, WebP or GIF. Attach file supports PDF, Word, Excel and PowerPoint documents, CSV, TXT, ZIP and those image formats. The editor states a limit of 25 MB per file.

An image is inserted into the content; an attachment is added as a link. Check its destination and save the article when finished. Uploaded files are accessible through their links: do not attach credentials, private customer information or documents that must remain restricted. Keeping an article as a draft does not make an uploaded file private.

Import HTML or PDF

  1. Select Import HTML or PDF.
  2. Choose an HTML/HTM or PDF file of up to 20 MB. PDFs can contain up to 100 pages.
  3. Review the preview and warnings.
  4. Click Append to the article to add it to the draft, or cancel the import.
  5. Review the resulting content and click Save.

Import appends content; it does not automatically replace existing text or publish it. Unsafe elements are removed from imported HTML. Links and images with relative paths may require a full address.

PDF import extracts text, not a faithful reproduction of its design. Review images, tables and layout. A scan without extractable text needs OCR outside this workflow, or you can attach it as a file. A protected, damaged or text-heavy document may also fail even within the size limit.

Link other articles

Select the text and use Insert or edit link. You can enter a Web link or choose Knowledge base article.

The internal selector searches for published articles with a title in the language you are editing. It excludes folders and the current article. Refine your search if there are many results. An article may be missing because it is still a draft in that language, even if another translation is published.

Review the text and apply the link. Internal links are built for the KB and widget; avoid replacing them with the editor's private URL. Edit link or Remove link lets you change the destination without deleting the text. Check public navigation when finished.

Translate and publish

Select each language and complete its title, summary and content. Save changes before moving to the next language. Title, content, summary, publication, URL path and metadata are managed per language; document tags are shared.

To publish the selected version, check Published and save. To unpublish it, uncheck Published and save again. Publishing one translation does not automatically publish the others. The list may display a fallback title from another language: check the editor and the selected language's status before considering its translation complete.

Also review publication of parent folders and the help center's status. A published article is not, by itself, guaranteed to appear throughout navigation. Do not change other folders' visibility to publish your article without first reviewing the portal's organization.

Search, move and order

Search uses titles and tags, including titles in other languages. A search can find documents outside the open folder. Entering a folder clears the search.

Use Move to select a destination folder or the root, then confirm. A folder cannot be moved into itself or its descendants. Move up and Move down change the order of items in the folder; these controls do not appear while a search is active.

Before deleting, check the exact document. Folder deletion confirmation warns that its contents are also deleted and that this cannot be undone. Do not use deletion as a substitute for unpublishing.

Limits and metrics

If your plan has an article limit, a counter appears on the page. Drafts and published articles count; folders and translations do not consume additional articles. At the limit, you can still edit, translate and organize existing articles, but cannot create a new one. Review the plan before deleting content just to free space.

The list shows Visits and Helpful votes for the selected language. Helpful votes shows positive votes against the total of positive and negative votes; it is not conversation CSAT.

Configure the help center

In Help center settings, review portal publication, subdomain, custom domain and public languages. Do not confuse publishing the portal with publishing each article translation.

Editing portal appearance and SEO also requires Widget permission. Custom domains and multiple public languages require the corresponding KB Pro capability; check your plan rather than assuming every workspace has the same options.

On a plan with a single public language, Change language replaces the visible language without deleting saved translations. Articles without a published version in the new language may stop appearing. Review the warning before confirming.

For a custom domain, the panel specifies a CNAME pointing to custom.froged.help and offers Save domain and Verify DNS. Coordinate the change with your DNS administrator and check verification status before recommending the new address to customers.

In each article's Search engines and social networks section, review its public path, title and description, indexing and sharing information. Changing a field does not guarantee ranking or immediate preview updates by external services.

Articles and Updates publish differently

Updates lets you communicate product changes and requires its own permission. Publication is shared across all languages of an update, while Articles controls publication per language. Do not use an article's checkbox or status as a guide to an update's behavior. Review all its translations before publishing it.

If you need help

Provide the workspace, article reference, language, operation and error message. For link errors, first check whether you are using a public URL or a private administration address. Avoid sending support unnecessary tokens or confidential files.
