A segment saves conditions for finding contacts. It is not a fixed list of checked rows, an Inbox view or a campaign delivery status. Users and Companies have separate lists and different filter fields.
Before you start
Decide which entity you need and which conditions it should meet. Use a descriptive name of up to 50 characters, not just spaces. Saving public or protected segments requires data management permission; seeing an option does not guarantee that you can save it.
Create a segment
- Open Users for individual contacts or Companies for companies.
- Click the + icon next to SEGMENTS.
- Complete Name and review Scope. A new segment starts as private.
- Under Query, click Add filter and choose the field, operator and value. Available fields depend on the entity and its attributes.
- Add the conditions you need and review the AND and OR operators between groups and within each group.
- Click Save. Cancel closes the form without saving its changes.
- Select the segment in the sidebar and check several results before using it for an export or to prepare an audience.
Combine AND and OR
AND requires all connected conditions or groups to match. OR allows any of them to match. The overall operator connects groups; each group's operator connects its conditions.
To find Spanish-speaking contacts with the Demo or Formación tag:
- Create a group containing the Spanish language condition.
- Create another group containing the two tags and select OR within that group.
- Keep AND between the two groups.
The intended result is: Spanish language AND (Demo OR Formación). Add filter creates a group; the + next to a condition adds another condition to the same group. Do not join everything with OR, because that could include contacts using other languages. Use the language and tag values that exist in your workspace.
Choose the scope
- Private: intended for the agent who creates it, for individual work.
- Public: intended to share the segment within the workspace. Coordinate changes with the people using it.
- Protected: an option subject to permissions. Before using it to restrict access to sensitive information, confirm its behavior in your workspace with support.
Segment scope does not replace data access permissions. If an option is missing or saving fails, ask your administrator to check your access.
Edit, duplicate or delete
Use the pencil icon beside a segment to edit it. In Users, you can change the name, filters and scope according to your permissions. In Companies, editing allows name and filter changes; the scope is locked. After saving, select the segment again and check its results.
The Duplicate icon creates a copy immediately, without first opening a confirmation form. It adds the suffix copy to the name and preserves the filters and scope: it does not automatically make a shared segment private. Review the copy after creating it.
The trash icon opens a deletion confirmation. Check the name and dependencies before confirming; the interface warns that the segment cannot be recovered. This operation deletes the segment definition; it is not the action for deleting contacts.
Default Users segments
All adds no conditions. New filters for creation less than 30 days ago. Active uses OR between last visit or last communication less than 30 days ago. Inactive uses AND between last visit and last communication more than 90 days ago.
These segments cannot be edited or deleted from their list. Active and Inactive are not complementary groups: do not automatically classify someone as inactive because they are absent from Active. For a different criterion, create a segment with its own name and check dates and records with no activity.
If the result is not what you expected
Check the entity, fields, values, AND/OR and grouping. Reset clears the editor's filters; review them before saving. Selecting a segment resets the text search and list page.
If you cannot save, check data management permission and make sure the name is neither empty nor already used. Repeatedly duplicating the same segment can cause a name conflict. Do not assume a segment was created if an error appears.
